Inspection Workflows

This guide covers creating inspection checklists, conducting inspections, and managing inspection reports for your assets.

Accessing Inspections

Navigate to Assets > Inspections from the sidebar or go to /inspections

An inspection is a systematic check of an asset to verify its condition, functionality, and compliance:

Quick Filters:
  • Result: Pass, Fail, Conditional, Pending
  • Type: Filter by inspection type
  • Asset Type: Filter by equipment category
  • Date Range: Filter by inspection date
  • Inspector: Filter by technician

Creating Inspection Templates

What are Templates?

Templates define standardized checklists for consistent inspections across assets.

Building a Template

  1. Go to Settings > Inspection Templates
  2. Click Create Template
  3. Enter template details:
    • Template name
    • Asset type it applies to
    • Description
  4. Add checklist sections
  5. Add checklist items
  6. Save template

Starting an Inspection

From Asset:
  1. Open asset detail
  2. Click New Inspection
  3. Select inspection template
  4. Begin inspection
From Inspections List:
  1. Go to Inspections
  2. Click Start Inspection
  3. Select asset
  4. Select template
  5. Begin inspection

Completing the Checklist

  1. Work through each section
  2. For each item:
    • Record observation
    • Mark pass/fail as appropriate
    • Add notes if needed
    • Capture photos where required
  3. Review all items completed
  4. Submit inspection

For each checklist item:

Enhance inspection records:
  1. Tap/click Add Note on any item
  2. Enter observation details
  3. Click Add Photo to capture image
  4. Photos attach to specific checklist item

Inspection Results

Result Categories

Automatic Result Calculation

System calculates overall result based on:
  1. Critical items must all pass
  2. Percentage of items passed
  3. Template-defined thresholds

Manual Result Override

Inspectors can override automatic results:
  1. Complete all checklist items
  2. Review calculated result
  3. If override needed, select actual result
  4. Provide justification
  5. Submit inspection

Inspection Reports

Generating Reports

After inspection completion:
  1. Open inspection record
  2. Click Generate Report
  3. Select report format (PDF, summary)
  4. Report includes:
    • Asset details
    • All checklist results
    • Photos captured
    • Inspector signature
    • Overall result

Report Contents

Sharing Reports

  1. Generate PDF report
  2. Options:
    • Download to device
    • Email to customer
    • Attach to job
    • Store in Vault

Scheduling Inspections

Creating Inspection Schedules

  1. Go to Inspections
  2. Click Create Schedule
  3. Configure:
    • Asset or asset type
    • Inspection template
    • Frequency (monthly, quarterly, annual)
    • Start date
  4. Save schedule

Handling Failed Inspections

When an Inspection Fails

  1. Complete and submit inspection
  2. System flags asset as non-compliant
  3. Create corrective action:
    • Click Create Follow-up Job
    • Or Report Fault
  4. Job created with failure details
  5. After repair, re-inspect

Re-Inspection Workflow

  1. Corrective work completed
  2. Open original inspection
  3. Click Re-Inspect
  4. Complete failed items only
  5. If all pass, asset returns to compliant

Tracking Deficiencies

View all outstanding failures:
  1. Go to Inspections
  2. Filter by Result: Fail
  3. See all failed inspections
  4. Track resolution status

Best Practices

Conducting Inspections

  • Follow checklist order systematically
  • Document all observations thoroughly
  • Capture clear, relevant photos
  • Note any concerns even if item passes
  • Complete inspection in single session when possible

Creating Templates

  • Group related items into sections
  • Use clear, unambiguous item text
  • Define pass/fail criteria explicitly
  • Include reference photos for comparison
  • Test templates before deployment

Quality Control

  • Review completed inspections regularly
  • Audit random sample of pass results
  • Verify photos match observations
  • Ensure consistent standards across inspectors

Troubleshooting

Template Not Appearing

  1. Verify template is published/active
  2. Check template applies to correct asset type
  3. Confirm you have permission to use template
  4. Refresh the page

Cannot Submit Inspection

  1. Check all required items completed
  2. Verify required photos captured
  3. Review any validation errors shown
  4. Ensure connected to network

Photos Not Uploading

  1. Check device permissions for camera
  2. Verify network connection
  3. Try smaller image size
  4. Save inspection draft and retry
