Time tracking in Taskr helps you accurately capture work hours, manage timesheets, and generate payroll and billing data.

Using the Time Tracker

Accessing Time Tracker

Navigate to Operations > Time Tracker or /tracker

Starting a Timer

  1. Click Start Timer
  2. Select the job you’re working on (or “Non-job time”)
  3. Add a brief description
  4. Timer starts automatically

While Timer Running

The timer shows:
  • Elapsed time
  • Current job/task
  • Quick controls
Actions available:
  • Pause: Temporarily stop (for breaks)
  • Resume: Continue after pause
  • Stop: End the time entry
  • Add Note: Add details while working

Stopping the Timer

  1. Click Stop Timer
  2. Review the time entry:
    • Start and end times
    • Total duration
    • Job assignment
    • Description
  3. Make any adjustments
  4. Click Save

Timer from Job Detail

You can also start timers from within jobs:
  1. Open a job
  2. Click Start Timer or the timer icon
  3. Timer starts linked to that job
  4. Access timer controls from header or Time Tracker

Manual Time Entry

When to Use Manual Entry

  • Forgot to start timer
  • Entering time for previous days
  • Offline work
  • Batch entry at end of day

Creating Manual Entries

  1. Go to Time Tracker or Timesheets
  2. Click Add Time Entry
  3. Fill in details:
    • Date: When work occurred
    • Start Time: When you started
    • End Time: When you finished
    • Duration: Calculated automatically
    • Job: Link to job (optional)
    • Description: What you did
  4. Click Save

Quick Entry

For faster entry:
  1. Enter duration only (e.g., “2h 30m”)
  2. System sets start time based on your last entry
  3. Adjust if needed

Configure time types for your organization:

Working with Timesheets

Accessing Timesheets

Navigate to Operations > Timesheets or /timesheets

Timesheet Views

Weekly Timesheet Entry

  1. Go to Timesheets
  2. Select the week
  3. Enter time for each day:
    • Click a day cell
    • Enter duration or times
    • Add job link if applicable
  4. Save entries

Timesheet Summary

The summary shows:
  • Total hours per day
  • Weekly total
  • Billable vs non-billable split
  • Overtime calculation

Timesheet Approval

Submitting Timesheets

When ready for approval:
  1. Review all entries for accuracy
  2. Click Submit for Approval
  3. Timesheet status changes to “Pending”
  4. Approver is notified

Approval Status

Approving Timesheets (Managers)

  1. Go to Timesheets
  2. Filter by “Pending Approval”
  3. Review each timesheet:
    • Check hours are reasonable
    • Verify job links correct
    • Review notes and descriptions
  4. Click Approve or Reject
  5. Add comment if rejecting

Handling Rejections

If your timesheet is rejected:
  1. Review rejection comments
  2. Make required corrections
  3. Resubmit for approval

Time on Jobs

Viewing Job Time

From a job detail:
  1. Open the job
  2. Go to Time tab
  3. View all time entries:
    • Who logged time
    • Duration per person
    • Total job time

Job Time Summary

The summary shows:
  • Total hours logged
  • Hours by technician
  • Estimated vs actual comparison
  • Billable hours

Adding Time to Jobs

From within a job:
  1. Go to Time tab
  2. Click Log Time
  3. Enter time details
  4. Save
Or use the timer:
  1. Click Start Timer in job
  2. Work on the job
  3. Stop timer when done

Reports and Exports

Time Reports

Available reports:

Generating Reports

  1. Go to Time Tracker or Timesheets
  2. Click Reports or Export
  3. Select report type
  4. Choose date range
  5. Download (CSV, PDF, Excel)

Payroll Export

Export for payroll systems:
  1. Go to Timesheets
  2. Select pay period
  3. Filter approved timesheets only
  4. Click Export for Payroll
  5. Choose format (CSV, ADP, etc.)

Time Tracking Rules

Overtime Calculation

System calculates overtime based on rules:
  • Daily: Hours over 8/day
  • Weekly: Hours over 40/week
  • Custom: Your organization’s rules

Minimum Time Increments

Time may be rounded:

Break Policies

Configure break deductions:
  • Automatic: Deduct after X hours
  • Manual: Enter break time explicitly
  • None: No break tracking

Tips and Best Practices

For Accurate Time

  • ✅ Start timer when beginning work
  • ✅ Stop timer during breaks
  • ✅ Add descriptions for context
  • ✅ Link time to jobs when possible
  • ✅ Review entries daily

For Technicians

  • ✅ Use the timer for real-time accuracy
  • ✅ Include travel time if billable
  • ✅ Note any delays or issues
  • ✅ Submit timesheets promptly
  • ❌ Don’t estimate—track accurately

For Managers

  • ✅ Review timesheets weekly
  • ✅ Check for unusual patterns
  • ✅ Provide feedback on time tracking
  • ✅ Ensure consistent practices
  • ❌ Don’t approve without review

Troubleshooting

Timer Won’t Start

  1. Check you have an active session
  2. Refresh the page
  3. Check for browser permissions
  4. Try a different browser

Lost Time Entry

  1. Check the date filter
  2. Search by description or job
  3. Check “All Entries” view
  4. Contact admin if not found

Timesheet Won’t Submit

  1. Check all required fields
  2. Verify total hours reasonable
  3. Check for system validation errors
  4. Contact manager if issues persist

Time Not Appearing on Job

  1. Verify time entry is linked to job
  2. Check the correct job ID
  3. Ensure time entry is saved
  4. Refresh the job view
