Quick Filters:- Status: Draft, Approved, Sent, Received, Closed
- Vendor: Filter by supplier
- Date Range: Filter by order date

Creating Purchase Orders
New Purchase Order
- Go to Purchase Orders
- Click Create PO
- Complete the details:
- Vendor
- Delivery address
- Line items
- Notes
- Click Save as Draft or Submit for Approval
From a Reorder
When inventory needs replenishment:- Receive reorder notification
- Click Create PO
- Items populate automatically
- Review and adjust quantities
- Submit

Changing Status
Automatic changes:- Draft to Submitted: When you submit
- Submitted to Approved/Rejected: When approver decides

- Go to Settings > Approval Rules
- Configure PO approval thresholds
- Assign approvers by amount or category
- Enable notifications

Email to Vendor
- Open an approved PO
- Click Send
- Review vendor email
- Add message if needed
- Click Send PO

Recording Receipt
- Open the sent PO
- Click Receive
- Enter received quantities
- Note any discrepancies
- Click Complete Receipt
Partial Receipt
When not everything arrives:- Record what was received
- PO shows partially received
- Record subsequent deliveries
- Complete when all items received

Short Shipment:- Document missing items
- Contact vendor
- Update expected date
- Receive remainder when it arrives
- Note the discrepancy
- Arrange return/replacement
- Update PO as needed
- Photograph damage
- Contact vendor immediately
