Project Management
Projects allow you to group related jobs under a single initiative. Whether you’re managing a multi-phase installation, a seasonal maintenance contract, or a construction project, the Projects feature keeps everything organized.Accessing Projects
Navigate to Projects:- Click Operations in the sidebar
- Click Projects in the sub-menu
- Or go directly to

Creating a Project
Basic Project Creation
- Go to Operations > Projects
- Click Create Project
- Fill in the required fields:
- Click Create
From an Existing Job
Convert a job to a project:- Open the job detail
- Click Actions > Create Project
- Job becomes the first task in the new project
- Add additional jobs as needed
Project Status
Projects move through defined statuses:Updating Project Status
- Open the project
- Click the Status dropdown
- Select the new status
- Add an optional note
- Click Update

Creating Jobs Within a Project
- Open the project
- Go to the Jobs tab
- Click Add Job
- Fill in job details
- Job is automatically linked to project
Linking Existing Jobs
- Open the project
- Go to the Jobs tab
- Click Link Existing Job
- Search and select jobs
- Jobs are now part of the project
Removing Jobs from Projects
- Open the project
- Find the job in the Jobs tab
- Click the Unlink icon
- Job remains but is no longer part of project
Project Phases
Organize large projects into phases:Creating Phases
- Open the project
- Go to the Phases tab
- Click Add Phase
- Enter phase name and details
- Assign jobs to the phase

- Click Actions > Save as Template
- Name the template

Track key project milestones:- Go to the Milestones tab
- Click Add Milestone
- Enter:
- Name (e.g., “Phase 1 Complete”)
- Target date
- Linked jobs
- Mark complete when achieved

- Open the project
- Click Create Invoice
- Select which jobs to include
- Choose billing method:
- Per job: Invoice each job separately
- Project total: Single invoice for all work
- Milestone: Invoice at milestone completion

Assigning a Project Manager
- Open project settings
- Set Project Manager
- Manager receives all project notifications
- Manager can edit all project details
Team Members
View everyone involved:- Assigned technicians across all jobs
- Hours logged by person
- Job completion by team member

Project Setup
- Set realistic target dates based on job estimates
- Break large projects into phases for easier tracking
- Assign a project manager for accountability

During Execution
- Update job statuses promptly
- Log time against specific jobs, not the project
- Add notes when scope changes
- Review progress weekly
For Managers
- Monitor budget vs actual regularly
- Address delayed jobs before they impact milestones
- Communicate timeline changes to customers
- Close projects promptly when complete
Troubleshooting
Can’t Add Jobs to Project
- Verify you have edit permission on the project
- Check the project isn’t completed or cancelled
- Ensure the job isn’t already in another project
- Some job types may be restricted
Progress Not Updating
- Ensure jobs are marked complete, not just closed
- Check time entries are linked to project jobs
- Refresh the project page
- Verify budget is entered (for percentage calculations)
Template Not Available
- Check you have permission to use templates
- Verify template is active (not archived)
- Confirm template is for your organization
- Contact admin if template is missing
