Managing Customers

This guide covers creating, editing, and organizing customer records in Taskr.

Creating a Customer

Quick Create

  1. Navigate to Customers
  2. Click Create Customer or use sidebar shortcut
  3. Enter minimum required information:
    • Customer Name
  4. Click Create

Detailed Creation

For complete customer records:
  1. Click Create Customer
  2. Fill in all relevant sections
  3. Add locations if known
  4. Click Create

Editing Customers

Opening for Edit

  1. Click on a customer in the list
  2. Customer detail sheet opens
  3. Click Edit button
  4. Make changes
  5. Click Save

Inline Editing

Some fields support inline editing:
  1. Click directly on the field
  2. Edit the value
  3. Click away or press Enter to save

Bulk Editing

Update multiple customers:
  1. Select customers using checkboxes
  2. Click Bulk Actions
  3. Choose action (status, tags, etc.)
  4. Apply changes

Quick Actions

From customer detail:
  • Create Job: Start new work order
  • Create Quote: Generate price proposal
  • Create Invoice: Bill the customer
  • Add Location: Register new site
  • Add Contact: Add contact person
  • Upload Document: Attach files

Customer Locations

Adding Locations

  1. Open customer detail
  2. Go to Locations tab
  3. Click Add Location
  4. Enter location details:
    • Name
    • Address
    • Contact information
    • Access details
  5. Click Save

A customer can have:
  • One billing address
  • Multiple locations (work sites)

Customer Contacts

Adding Contacts

  1. Open customer detail
  2. Go to Contacts tab
  3. Click Add Contact
  4. Enter:
    • Name
    • Role/title
    • Email
    • Phone
    • Primary contact (yes/no)
  5. Click Save

Primary Contact

Designate one contact as primary:
  • Used for default communication
  • Shows on customer list
  • Receives notifications (if enabled)

Customer Status Management

Changing Status

  1. Open customer detail
  2. Click Edit
  3. Change Status field
  4. Add note explaining change (optional)
  5. Save

Active to Inactive

When deactivating a customer:
  • Historical data preserved
  • Customer hidden from default views
  • Can still access if filtered
  • Related records remain linked

Inactive to Active

Reactivating a customer:
  1. Filter to show inactive customers
  2. Find and open customer
  3. Change status to Active
  4. Save

Merging Duplicate Customers

When to Merge

  • Duplicate records created accidentally
  • Company name changed
  • Businesses merged

How to Merge

  1. Identify duplicate customers
  2. Determine which record to keep
  3. Go to customer to remove
  4. Click Actions > Merge
  5. Select target customer
  6. Review what will be merged
  7. Confirm merge

What Gets Merged

Deleting Customers

  1. Change status to Inactive
  2. Customer is hidden but preserved
  3. Data available if needed later

Hard Delete

⚠️ Warning: Hard delete is permanent and removes all customer data.
Only available if:
  • No linked jobs
  • No linked invoices
  • Admin permission

Import and Export

Importing Customers

Bulk import from spreadsheet:
  1. Go to Settings > Import Data
  2. Select Customers
  3. Download template
  4. Fill in customer data
  5. Upload completed file
  6. Map columns
  7. Review and import

Export Customers

  1. Go to Customers list
  2. Apply filters as needed
  3. Click Export
  4. Choose columns to include
  5. Select format (CSV, Excel)
  6. Download
Type in the search box to find:
  • Customer name
  • Trading name
  • Contact name
  • Email
  • Phone number
Use filters for:
  • Status (active/inactive)
  • Tags
  • Date created
  • Last activity
  • Jobs count
  • Custom fields

Using Tags

Tags help organize customers:
  • Industry type
  • Service level
  • Geographic region
  • Account manager

Managing Tags

  1. Edit customer
  2. Find Tags field
  3. Add existing tags or create new
  4. Save

Filtering by Tags

  1. Click Filters in customer list
  2. Select tag filter
  3. Choose tags to include
  4. View filtered results

Best Practices

Customer Creation

  • ✅ Check for existing customer before creating
  • ✅ Use consistent naming format
  • ✅ Add all known contact information
  • ✅ Create locations for all work sites
  • ✅ Set appropriate payment terms

Data Maintenance

  • ✅ Update records when information changes
  • ✅ Mark departed contacts inactive
  • ✅ Review inactive customers periodically
  • ✅ Merge duplicates promptly
  • ✅ Verify addresses regularly

Organization

  • ✅ Use tags consistently
  • ✅ Document special requirements in notes
  • ✅ Keep primary contacts current
  • ✅ Associate all locations properly

Troubleshooting

Can’t Delete Customer

Cause: Customer has linked records Solution:
  1. Mark inactive instead of deleting
  2. Or reassign/delete linked records first
Cause: Filters may be hiding customer Solution:
  1. Clear all filters
  2. Check status filter includes customer’s status
  3. Try different search terms

Duplicate Customers

Solution:
  1. Use merge function
  2. Keep most complete record
  3. All links transfer automatically
