Customer Locations

This guide covers managing customer sites and properties where work is performed.

Understanding Locations

Location vs Customer Address

A single customer can have:
  • One billing address (stored on customer record)
  • Multiple locations (work sites, properties, branches)

Why Use Locations

  • Track multiple job sites for one customer
  • Store site-specific access instructions
  • Link assets to their physical location
  • Generate accurate job directions
  • Maintain service history per site

Adding a New Location

From Customer Detail

  1. Navigate to Customers
  2. Click on the customer name to open detail view
  3. Go to the Locations tab
  4. Click Add Location
  5. Enter location details
  6. Click Save

Quick Add from Job Creation

  1. When creating a job, select a customer
  2. Click Add New Location in the location dropdown
  3. Enter location details
  4. Location is saved and automatically selected

Editing Locations

Opening for Edit

  1. Navigate to the customer
  2. Go to Locations tab
  3. Click on the location name
  4. Click Edit
  5. Make changes
  6. Click Save

Bulk Location Updates

For customers with many locations:
  1. Open customer detail
  2. Go to Locations tab
  3. Select multiple locations using checkboxes
  4. Click Bulk Actions
  5. Choose action (update status, add tag)
  6. Apply changes

Location Status Management

Active vs Inactive

Deactivating a Location

  1. Open the location
  2. Click Edit
  3. Change Status to Inactive
  4. Save
Inactive locations:
  • Hidden from job creation dropdowns
  • Historical data preserved
  • Can be reactivated at any time

Linking Locations to Jobs

When Creating a Job

  1. Select the customer
  2. Choose location from dropdown
  3. Location address auto-populates job address
  4. Access instructions copy to job notes

Changing Job Location

  1. Open the job
  2. Click Edit
  3. Select new location
  4. Confirm address update
  5. Save

Assets at Locations

Viewing Location Assets

  1. Open location detail
  2. Go to Assets tab
  3. View all equipment at this site

Adding Assets to Location

  1. Open location detail
  2. Go to Assets tab
  3. Click Add Asset
  4. Enter asset details
  5. Asset is linked to this location

Location Search and Filters

Finding Locations

Search across all locations by:
  • Location name
  • Address
  • Customer name
  • Site contact

Filtering Locations

Best Practices

Naming Conventions

  • Use descriptive, consistent names
  • Include identifiers (building number, unit)
  • Avoid generic names like “Site 1”
Examples:
  • “Downtown Office - Level 3”
  • “Warehouse - 42 Industrial Ave”
  • “Smith Residence - Main House”

Address Accuracy

  • Verify addresses before saving
  • Include unit numbers and building names
  • Add landmarks in access instructions
  • Update when details change

Access Information

  • Document all entry procedures
  • Update gate codes when they change
  • Note parking restrictions
  • Include emergency contact details

Site Organization

  • Group related sites logically
  • Use location types for filtering
  • Deactivate rather than delete old locations
  • Keep service history notes current

Troubleshooting

Location Not Showing in Job Creation

Cause: Location may be inactive Solution:
  1. Check location status
  2. Reactivate if needed
  3. Refresh the page

Duplicate Locations

Solution:
  1. Identify the primary record
  2. Update jobs to use correct location
  3. Deactivate or delete duplicate
  4. Merge assets if applicable

Address Not Mapping Correctly

Solution:
  1. Verify address format
  2. Include postal code
  3. Check country selection
  4. Use standard abbreviations
