The Vault provides multiple ways to organize documents:Document Types
Available Types
Setting Document Type
For a single document:- Click on the document to open details
- Click Edit Details
- Select type from the dropdown
- Click Save
- Select documents using checkboxes
- Click Set Type in the toolbar
- Choose the type to apply
- Confirm the change
Filtering by Type
Use type filters to find documents quickly:- Go to Vault
- Click the Type filter
- Select one or more types
- View filtered results
Using Tags
What Are Tags?
Tags are flexible labels you apply to documents for custom organization. Unlike types, you can apply multiple tags to a single document.Adding Tags
To add tags to a document:- Open document details
- Find the Tags field
- Type a tag name
- Press Enter or select from suggestions
- Repeat for additional tags
- Click Save
Tag Suggestions
When typing a tag:- Existing tags appear as suggestions
- Select a suggestion for consistency
- Create new tags by typing and pressing Enter
Bulk Tagging
Apply tags to multiple documents:- Select documents using checkboxes
- Click Add Tags in the toolbar
- Enter or select tags to add
- Confirm the change

Linking to Records
Why Link Documents?
Linking documents to records (customers, jobs, assets) provides:- Context for the document
- Easy access from related records
- Automatic organization by relationship
- Complete record documentation
Linking to a Customer
- Open document details
- Click Link to Record
- Select Customer
- Search for the customer
- Select from results
- Click Save
Linking to a Job
- Open document details
- Click Link to Record
- Select Job
- Search by job number or title
- Select the job
- Click Save
Linking to an Asset
- Open document details
- Click Link to Record
- Select Asset
- Search by asset name or ID
- Select the asset
- Click Save
Linking to a Location
- Open document details
- Click Link to Record
- Select Location
- Search by address or name
- Select the location
- Click Save
Viewing Linked Documents
From any record:- Open the record (customer, job, etc.)
- Go to the Documents tab
- See all linked documents
- Click to open any document
Multiple Links
A single document can link to multiple records:- One customer AND one job
- Multiple jobs if relevant
- Any combination of record types

Troubleshooting
Tag Not Appearing
- Refresh the page
- Check spelling and case
- Verify the tag was saved
- Try removing and re-adding
Wrong Document Type
- Open document details
- Click Edit Details
- Select the correct type

Link Not Working
- Verify the record exists
- Check you have access to that record
- Try searching with different terms
- Ensure the link was saved
Duplicate Documents
To find and remove duplicates:- Search by filename
- Compare upload dates
- Verify contents match
- Delete the duplicate
