Creating Jobs

This guide walks you through creating jobs in Taskr, from simple service calls to complex multi-day projects.

Creating Your First Job

Quick Create

  1. Navigate to Operations > Jobs
  2. Click Create Job button
  3. Fill in required fields:
    • Title: Brief job description
    • Customer: Select existing customer
    • Location: Choose site (from customer’s locations)
  4. Click Create

Detailed Creation

For more complete job records:
  1. Click Create Job
  2. Complete all relevant sections (see below)
  3. Review and click Create

Customer and Location

Selecting a Customer

  1. Click the Customer field
  2. Search by name or browse the list
  3. Select the customer
  4. Their locations become available
Can’t find the customer?
  • Click + Create Customer to add new
  • Complete minimum customer details
  • Return to job creation

Choosing a Location

After selecting a customer:
  1. Click the Location field
  2. View customer’s locations
  3. Select the work site
  4. Address and access info populate automatically
Adding a new location?
  • Click + Create Location
  • Add location details
  • Continue with job creation

Access Information

Location access details are shown:
  • Address
  • Access instructions
  • Key/alarm codes (if configured)
  • Contact on site
  • Special requirements

Scheduling

Setting the Schedule

Scheduling Options

Specific date and time:
  1. Select a date from the calendar
  2. Enter start and end times
  3. Duration calculates automatically
Duration-based:
  1. Select a date
  2. Enter estimated duration
  3. End time calculates based on start
Unscheduled:
  1. Leave date blank
  2. Job saves as “Draft”
  3. Schedule later when ready

Assignment

Assigning Technicians

  1. Click the Assigned To field
  2. Search or browse team members
  3. Select one or more technicians
  4. Primary assignee shows first

Assignment Considerations

Before assigning, consider:
  • Availability: Is the person free?
  • Skills: Do they have required certifications?
  • Location: Are they near the job site?
  • Workload: Is their schedule balanced?

Team Assignments

For larger jobs:
  1. Select multiple technicians
  2. Designate a lead (first selected)
  3. Add notes about responsibilities

Assets and Equipment

Linking Assets

Associate equipment with the job:
  1. Go to Assets section
  2. Click Add Asset
  3. Search from location’s assets
  4. Select relevant equipment

Asset Details Shown

For linked assets:
  • Asset type and model
  • Serial number
  • Last service date
  • Compliance status

Job Details

Work Requirements

Add detailed requirements:

Special Instructions

Include any special notes:
  • Customer preferences
  • Safety requirements
  • Equipment needed
  • Previous issues to check

Attachments

Add relevant files:
  • Work specifications
  • Site maps
  • Previous reports
  • Customer documents

Creating from Different Sources

From Customer Record

  1. Open customer detail
  2. Click Create Job
  3. Customer is pre-selected
  4. Choose location and continue

From Location Record

  1. Open location detail
  2. Click Create Job
  3. Customer and location pre-filled
  4. Add remaining details

From Asset Record

  1. Open asset detail
  2. Click Create Job
  3. Customer, location, and asset linked
  4. Complete job details

From Quote

  1. Open approved quote
  2. Click Convert to Job
  3. Quote details transfer
  4. Adjust as needed

From Fault

  1. Open fault record
  2. Click Create Repair Job
  3. Fault context included
  4. Complete scheduling

Job Templates

Using a Template

  1. Click Create Job
  2. Click From Template
  3. Select template
  4. Customize for this job
  5. Create

What Templates Include

Templates can include:
  • Job type and description
  • Standard work requirements
  • Checklist items
  • Default duration
  • Asset types to include

Validation and Requirements

Required Before Saving

Must have:
  • ✅ Title
  • ✅ Customer
  • ✅ Job type

Required Before Scheduling

Must have:
  • ✅ Location
  • ✅ Date
  • ✅ Assigned technician

Required Before Completing

Must have:
  • ✅ Time entries (if time tracking required)
  • ✅ Progress notes (if required)
  • ✅ Checklist completion (if applicable)

Workflow Options

Create as Draft

For jobs not ready to schedule:
  1. Leave date/assignment blank
  2. Job saves as “Draft”
  3. Edit later to schedule

Create and Schedule

For ready-to-go jobs:
  1. Complete all fields
  2. Select “Scheduled” status
  3. Assigned technician is notified

Create and Start

For immediate work:
  1. Complete all fields
  2. Select “In Progress” status
  3. Work begins immediately

Bulk Job Creation

Recurring Jobs

For regular maintenance:
  1. Create first job
  2. Select Make Recurring
  3. Set frequency (weekly, monthly, etc.)
  4. Define duration
  5. System creates future jobs automatically

Import Jobs

For bulk creation:
  1. Go to Settings > Import Data
  2. Select Jobs
  3. Download template
  4. Fill in job details
  5. Upload completed file
  6. Review and confirm import

Tips for Effective Jobs

Writing Good Titles

Good titles:
  • “Annual Fire Extinguisher Service - Building A”
  • “Emergency Repair - Faulty Smoke Detector Rm 201”
  • “Quarterly Inspection - Fire Panel”
Poor titles:
  • “Service”
  • “Fix thing”
  • “Customer request”

Complete Descriptions

Include:
  • What needs to be done
  • Why (if relevant)
  • Any special requirements
  • Expected outcomes

Accurate Scheduling

Consider:
  • Travel time between jobs
  • Job complexity
  • Technician skill level
  • Customer availability
  • Access restrictions

After Creating

Next Steps

After job creation:
  1. Verify details are correct
  2. Notify technician (automatic or manual)
  3. Prepare materials if needed
  4. Monitor job progress
