Compliance Rules

Compliance rules define the requirements your organization must meet. This guide covers how to create, configure, and manage compliance rules in Taskr.

Overview

Compliance rules are the foundation of your compliance management. Each rule specifies:
  • What requirement must be met
  • How often it needs to be checked
  • Who is responsible for compliance
  • What evidence is needed

Accessing Compliance Rules

  1. Navigate to Compliance in the main menu
  2. Select Rules from the submenu
  3. View all active rules in the list view

Rule Types

Creating a Compliance Rule

Step 1: Start New Rule

  1. Click Add Rule in the top-right corner
  2. Select the rule type from the dropdown
  3. Enter a descriptive rule name

Define how often compliance must be verified:

Step 4: Configure Notifications

Set up alerts before compliance expires:
  1. Enable Due Soon alerts
  2. Set threshold days (e.g., 30 days before)
  3. Choose notification recipients
  4. Select notification method (email, in-app, or both)

Step 5: Add Documentation Requirements

Specify what evidence is needed:
  • Required document types
  • Photo requirements
  • Signature requirements
  • Checklist items

Managing Existing Rules

Editing Rules

  1. Click the rule name in the list
  2. Select Edit from the actions menu
  3. Modify fields as needed
  4. Click Save Changes
Note: Changes to existing rules do not affect compliance items already in progress.

Deactivating Rules

If a rule is no longer needed:
  1. Open the rule details
  2. Click Deactivate
  3. Confirm the action
Deactivated rules remain in the system for historical records but will not generate new compliance items.

Deleting Rules

  1. Open the rule details
  2. Click Delete in the actions menu
  3. Confirm permanent deletion
Warning: Deleting a rule removes all associated compliance history. Consider deactivating instead.

Rule Categories

Organize rules into categories for easier management:

Creating Categories

  1. Go to Settings > Compliance
  2. Select Categories
  3. Click Add Category
  4. Enter name and description
  5. Click Save

Assigning Rules

To Assets

  1. Open the asset record
  2. Go to Compliance tab
  3. Click Add Rule
  4. Select applicable rules
  5. Set effective date

To Locations

  1. Open the location record
  2. Navigate to Compliance
  3. Apply relevant rules
  4. Configure location-specific settings

To Employees

  1. Go to Employees
  2. Open employee record
  3. Select Compliance tab
  4. Assign required rules

Best Practices

  • Name rules clearly with action and frequency (e.g., “Annual Fire Extinguisher Inspection”)
  • Set notification thresholds that allow time for scheduling
  • Group related rules into logical categories
  • Review rules quarterly to ensure they remain current
  • Document the source of regulatory requirements
  • Assign clear ownership for each rule type

Troubleshooting

Rule Not Generating Compliance Items

  • Verify the rule is active
  • Check that the rule is assigned to at least one asset, location, or employee
  • Confirm the effective date has passed
  • Review frequency settings

Duplicate Compliance Items

  • Check if the rule is assigned multiple times
  • Review overlapping schedules
  • Verify category assignments
