Import Data

Import bulk data into Taskr from spreadsheets and other systems. Migrate customer lists, assets, products, and more using CSV files.
Access: Owners and Admins can import data. See Role Definitions for details.

Overview

The import feature allows you to:

Accessing Data Import

  1. Go to Settings > Import Data
  2. Or navigate directly to /settings/import

Import Process

Step 1: Download Template

  1. Go to Settings > Import Data
  2. Select the data type to import
  3. Click Download Template
  4. Open the CSV file in a spreadsheet application

Step 3: Upload File

  1. Save your spreadsheet as CSV (UTF-8 encoding)
  2. Return to Settings > Import Data
  3. Select the data type
  4. Click Upload File
  5. Select your CSV file
  6. Click Open

Step 4: Map Columns

Taskr attempts automatic column mapping. Review and adjust:
  1. View the column mapping screen
  2. For each Taskr field, select the matching CSV column
  3. Use Skip for columns you do not want to import
  4. Click Continue

Step 5: Preview and Validate

Before importing, review the preview: Common validation errors:

Step 6: Import

  1. Review the preview summary
  2. Decide how to handle duplicates:
    • Skip - Do not import duplicates
    • Update - Overwrite existing records
    • Create New - Allow duplicates
  3. Click Import
  4. Wait for the import to complete
  5. Review the results summary

Downloading Error Reports

If errors occurred:
  1. Click Download Error Report
  2. Open the CSV file
  3. Review error messages for each failed row
  4. Fix issues in your original file
  5. Re-import only the corrected rows

Tips for Successful Imports

  • Start with a small test batch (10-20 records) before full import
  • Use the provided templates to avoid formatting issues
  • Clean your data before import (remove duplicates, fix formatting)
  • Back up existing data before performing updates
  • Import related data in order (customers before contacts, locations before assets)
  • Check for existing records to prevent duplicates
  • Use consistent naming conventions

Troubleshooting

File Won’t Upload

  1. Verify file is in CSV format
  2. Check file size is under 10MB
  3. Ensure file is not open in another application
  4. Try a different browser if issues persist

Many Validation Errors

  1. Download and review the template again
  2. Check date and number formats
  3. Verify lookup values match exactly
  4. Ensure required fields are populated

Import Takes Too Long

  1. Large files may take several minutes
  2. Do not close or refresh the browser
  3. Split very large files into smaller batches
  4. Contact support if import does not complete

Duplicate Records Created

  1. Check duplicate handling setting before import
  2. Review matching criteria (usually email or name)
  3. Merge duplicates after import if needed
  4. Use Update mode for subsequent imports
