Products

The product catalog manages your inventory of goods and services that appear on quotes, invoices, and purchase orders.

Accessing Products

Navigate to Finances > Products or go to /products

The Products List

List View

Filtering Products

Quick Filters:
  • Type: Product, Service
  • Category: Filter by category
  • Status: Active, Inactive
Search:
  • Product name
  • SKU
  • Description

Adding Products

Creating a Product

  1. Go to Products
  2. Click Add Product
  3. Select type:
    • Product: Physical goods
    • Service: Labor or services
  4. Complete the details
  5. Click Save

Physical Products

Tangible goods you sell:
  • Equipment
  • Parts
  • Supplies
  • Materials
Inventory tracking available for physical products.

Services

Labor and services you provide:
  • Installation
  • Maintenance
  • Consulting
  • Repairs
Services do not have inventory tracking.

Bundles

Group products and services together:
  1. Create a new product
  2. Set type as Bundle
  3. Add component items
  4. Set bundle pricing
  5. Save
Bundle pricing can be:
  • Sum of components
  • Fixed bundle price
  • Discounted bundle price

Pricing Strategies

Standard Pricing

Single price for all customers:
  • Set the selling price
  • Applied to all quotes and invoices

Customer-Specific Pricing

Different prices for different customers:
  1. Go to Customer > Settings
  2. Select Price List
  3. Assign a price list
  4. Customer sees those prices

Volume Pricing

Discounts based on quantity:
  1. Open product
  2. Go to Pricing tab
  3. Add quantity breaks:
    • 1-10: $100 each
    • 11-50: $90 each
    • 51+: $80 each
  4. Save

Markup from Cost

Calculate selling price from cost:
  1. Enter cost price
  2. Set markup percentage
  3. Selling price calculates automatically

Managing Inventory

Stock Tracking

When inventory tracking is enabled:
  • Stock decreases when invoices are sent
  • Stock increases when POs are received
  • Low stock alerts trigger at reorder point

Adjusting Stock

For corrections without sales/purchases:
  1. Go to Products > Inventory
  2. Select the product
  3. Click Adjust Stock
  4. Enter:
    • New quantity or adjustment
    • Reason for adjustment
  5. Save

Set up automatic alerts:
  1. Open product
  2. Set Reorder Point
  3. Set Reorder Quantity
  4. Enable notifications
  5. Receive alerts when stock falls below reorder point

Using Categories

Organize products by category:
  • Equipment
  • Parts
  • Labor
  • Materials
  • Other services

Creating Categories

  1. Go to Products > Categories
  2. Click Add Category
  3. Enter name and description
  4. Assign parent category (optional)
  5. Save

Using Products on Documents

On Quotes

  1. Create or edit quote
  2. Click Add Line Item
  3. Search for product
  4. Select from results
  5. Adjust quantity and price if needed

On Invoices

  1. Create or edit invoice
  2. Click Add Line Item
  3. Search for product
  4. Select from results
  5. Adjust as needed

On Purchase Orders

  1. Create or edit PO
  2. Click Add Line Item
  3. Search for product
  4. Select from results
  5. Quantity updates stock when received

Import and Export

Importing Products

  1. Go to Products > Import
  2. Download template
  3. Fill in product data
  4. Upload file
  5. Map columns
  6. Review and confirm

Exporting Products

  1. Go to Products
  2. Click Export
  3. Select format (CSV, Excel)
  4. Choose fields to include
  5. Download

Product Setup

  • Use consistent naming conventions
  • Include detailed descriptions
  • Set accurate cost prices
  • Assign appropriate categories
  • Keep SKUs unique and meaningful

Troubleshooting

  1. Check product status (active)
  2. Verify spelling
  3. Check category filters
  4. Refresh the page

Inventory Count Incorrect

  1. Review recent transactions
  2. Check for unapplied adjustments
  3. Verify PO receipts
  4. Perform physical count
  5. Create adjustment if needed

Price Not Updating

  1. Clear browser cache
  2. Check customer-specific pricing
  3. Verify price list assignment
  4. Check effective dates
